This Privacy Policy explains how Neo-SOFT POS ("we", "us", or "our") collects, uses, and protects your information when you use the Neo-SOFT POS Android application (the "App"). By downloading, installing, or using the App, you agree to the terms described in this policy.

1. Information We Collect

1.1 Registration Data

When you first launch the App, you are required to register by providing the following information:

• Full Name — the name of the account owner or business operator
• Phone Number — used to identify your account
• Shop Name — the name of your business

This registration data is stored securely in Google Firestore (a cloud database service provided by Google). It is used to associate your device with your licence and to provide customer support. Internet access is required only for this initial registration step.

1.2 Business Data (Stored Locally)

All day-to-day business data you create within the App is stored locally on your device only using an encrypted local database. This includes:

• Products, categories, prices, and stock levels
• Sales transactions and receipts
• Customer records, loyalty points, and purchase history
• Purchase orders and supplier details
• Staff accounts (usernames and hashed passwords)
• App settings and preferences

This data never leaves your device unless you explicitly use the Export or Backup features.

1.3 Licence and Device Data

To manage your free trial and lifetime licence, we store the following in Google Firestore:

• A unique device identifier (generated by the App, not linked to personal identity)
• Licence status (trial / active / expired)
• Trial start date and expiry date
• Licence activation date (if applicable)

1.4 Crash Reports

We use Firebase Crashlytics to receive anonymous crash reports when the App encounters an error. These reports include device model, Android version, App version, and a technical stack trace. They do not contain any of your business or personal data.

2. How We Use Your Information

• To register your account and associate it with your device
• To verify your free trial status and lifetime licence
• To diagnose and fix bugs and crashes reported by Crashlytics
• To contact you regarding your account or support requests (using the phone number you provided)
• To improve App stability and performance

We do not sell, rent, or share your personal data with third parties for advertising or marketing purposes.

3. Data Storage and Security

Your local business data is stored in a Room/SQLite database protected by Android's application sandboxing. Password data is stored as cryptographic hashes (SHA-256) — we never store passwords in plain text. Cryptographic operations use the Android Keystore for secure key management.

Registration and licence data stored in Google Firestore is protected by Firebase Security Rules and Google's infrastructure, which is compliant with internationally recognised security standards.

4. Third-Party Services

We use the following third-party services. Each service is subject to its own privacy policy:

• Google Firebase (Firestore) — stores registration data and licence records. See Google's Privacy Policy.
• Firebase Crashlytics — receives anonymous crash reports. See Firebase Privacy & Security.

We do not use advertising SDKs, analytics platforms, or social media trackers.

5. Data Retention

• Local business data — retained on your device until you uninstall the App or clear its data in Android Settings.
• Registration and licence data — retained in Firestore for as long as your account is active. You may request deletion at any time by contacting us.
• Crash reports — retained for 90 days in Firebase Crashlytics, then automatically deleted.

6. Your Rights

You have the right to:

• Access the personal data we hold about you (name, phone, shop name, licence status)
• Request correction of inaccurate data
• Request deletion of your registration and licence data by contacting us at the email below
• Delete all local business data by uninstalling the App or clearing app data in Android Settings
• Export your business data to CSV using the built-in Export feature (Paid Licence)

7. Internet Access

The App requires an internet connection only for:

• Initial registration on first launch
• Licence activation and verification
• Sending crash reports via Firebase Crashlytics

All daily operations — sales, inventory, reports, printing — work fully offline after registration.

8. Children's Privacy

Neo-SOFT POS is a business application intended for use by adults (18 years and older). We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and display a notice within the App. We encourage you to review this policy periodically.
